Sort a list of messages, contacts, notes, or files
You can have Microsoft Outlook automatically sort your items by changing the arrangement or you can create a custom sort.
Sort items by changing the arrangement
- In a table view type, on the View menu, click Arrange By, and then click the arrangement you want.
Tips
- If you are using single-line layout, the field by which the table is sorted (if the field is included in the current view) will be indicated by an arrow in the field column heading. To change the sort order based on the current arrangement, click the column heading.
- To quickly sort messages by flag color, on the View menu, point to Arrange By, and then click Flag.
Create a custom sort
- On the View menu, point to Arrange By, point to Current View, and then click a view that shows items in a table, card, or an icon view type.
- On the View menu, point to Arrange By, and then click Custom.
- Click Sort.
- In the Sort items by box, click a field to sort by. If the field you want isn't in the Sort items by box, click a different field set in the Select available fields from box.
If the field you sort by is the same as the field that items are grouped by, Outlook sorts the group headings instead of the items within each group. To sort the individual items in a group, click a field in the Sort items by box that is different from the Group by field you have chosen.
- Click Ascending or Descending for the sort order.
- To sort by an additional field, click a field in the Then by box.
